The Wetumpka Area Chamber of Commerce Business Expo is a Business to Business Exhibition of local area Business Products and Services.

On November 28th, more than 70 businesses will exhibit their goods and services at our annual Business to Business Expo at the Wetumpka Civic Center, with more than 500 in attendance during one of the biggest networking events of the year! Whether this is your first Business EXPO, or you’re an old pro, the WACC is available to help you every step of the way!

Pre-show Planning___________________________________________________

Most people attend Business EXPO to see what products and services are available in their marketplace. You should base your goals and expectations upon “connecting” with potential clients or consumers, to build your brand and develop leads.

Booth Design

v Plan your booth design well ahead of the EXPO date to best prepare.

v Develop a booth that best reflects your business, products or services.

v Be creative and have fun with your booth design.

v Be professional and courteous of others. Inappropriate or offensive content will not be tolerated.

 

Booth Preparation and Execution

v Have booth set up at least a half hour prior to show opening.

v Apply electricity if applicable to booth before show opening ($25 additional Booth Charge).

v Arrange brochures, business cards, giveaways, candy, etc. on table to attract attention to your booth.

v Keep booth neat and organized.

v Be inviting and engaging to booth visitors and fellow exhibitors.

v Stay relaxed and enjoy your time at EXPO.

v Be POSITIVE!! Customers DO NOT want to hear you complain or speak negatively about your competitors, fellow exhibitors or community.

 

Pre-show Marketing_____________________________________________________________

Be sure to take advantage of pre-show marketing as an opportunity to reach existing consumers as well as new clients. Consider the following options:

v Email blasts or newsletters

v Social media outlets such as Facebook, Twitter, Linked-in or blog

v Phone calls

v Direct Mailings

v Advertisements

v Press releases

v Website

v Voicemail message

 

Offer Incentives

v Consider offering coupons, gift-certificates or discounts to those who attend your booth. Incorporate this into your pre-show marketing campaign.

v Prize drawings or giveaways

 

Booth Guidelines_______________________________________________________________

Keep in mind booth presentation will market your business instantly. It is important to present your products and services in the most professional and respectable way possible. It is a rare opportunity for consumers to see how you stand up to the competitors, so make it a good showing!

Consider “curb appeal”

v Colors should be coordinated.

v Attractive signage, brochures and marketing materials should be offered.

v Black is considered the most popular, high-end color for a professional image.

v Booth personnel should be dressed appropriately, clean and polished.

v Booth personnel should be coordinated, professional or business casual, but not mixed.

 

Provided with show registration

v One 6ft rectangular table

v Two folding chairs

v Electricity offered for $25 additional fee with advance notice only.

 

**Tablecloth or backdrops not provided.

Unloading and Set-up

v Check-in and loading will be from 12:00pm-2:00pm on the day of event.

v Chamber volunteers will be at the Civic Center during check-in to provide direction to booth location and unloading instructions.

v Booth location will be prioritized based on level of sponsorship and registration date.

v Vehicles must be removed from unloading zone by 1:30 pm and in a timely manner.

 

Additional Information___________________________________________________________

v One of the most exciting aspects of Business EXPO is the half-hour giveaways. Don’t forget to contribute at least one giveaway item with a minimum value of $20.

v Bring a lot of business cards; you don’t want to run out!

v Be sure to follow-up with all contacts made at the event in a timely manner. Within a week is appropriate, but no longer than that.

FREQUENTLY ASKED QUESTIONS FOR EXHIBITORS

These frequently asked questions should help you prepare for a successful Business Expo.

 

The Wetumpka Area Chamber of Commerce’s Business Expo  is intended for businesses in Wetumpka and the River Region to let the public know what your business has to offer. While we allow you to sell items at your booth, it is not the purpose of the Business Expo and is only included for your convenience.

 

If you have any questions about the Business Expo, please contact Vanessa Lynch or Jamie Young at the Wetumpka Area Chamber of Commerce, at (334) 567-4811.

 

1.       Badges

a.       Two nametags will be provided in your registration packet for each person at your booth. If you require additional nametags, the Chamber will make those available.

b.      After the Expo closes at 6:30 pm on Tuesday, please drop your name badge off at the Chamber booth. The more name badges recycled helps the Business Expo committee control costs. We appreciate your participation.

2.       Booth

          a.       Booths will consist of one 8’ rectangular table and two chairs. You will need to provide your own table covering. Names of businesses and booth numbers will be at each table.

b.      If you ordered electricity, you will need to bring a 50’ extension cord.

c.       Set up can begin anytime after 12:00 pm on NOVEMBER 28th  and must be completed by 2:30 pm. Expo will be open to the public at 2:30 pm.

3.       Brag

a.       If you have a Facebook account for your business, be sure to advertise there to let customers know you will be at the Business Expo. If you are a Chamber member, you may post it on the Wetumpka Area Chamber of Commerce Facebook page.

b.      The Chamber’s Business Expo is promoted through the Wetumpka Herald, WSFA and various other venues throughout the River Region.

c.       Don’t forget to use “Linked in” and “twitter” to shout out your presence at the Business Expo.

4.       Check In

a.       When you get to the Wetumpka Civic Center on Sept.16th, check in at the Chamber’s booth inside the main door. An exhibitor packet will be provided containing your booth number, location map, name badges, food options, etc.

5.       Door Prizes

a.       Chamber of Commerce Door Prizes – People entering the Civic Center will have a chance to sign up for the big door prize being offered by the Chamber of Commerce. Winner will be drawn and notified at the end of the Business Expo.

b.      Exhibitor’s Door Prize – Voting for Best Booth, Most Creative Booth and Viewer’s Choice will be held at 5:00 pm with door prizes for each category. Exhibitors will be asked to fill out a “Tell Us How We Did” sheet in the exhibitor’s packet.

c.       Booth Door Prizes – Exhibitors may choose to have a drawing at their booth. The drawing of the door prize and contact of the winner will be up to the exhibitor.

6.       Exhibitor List

a.       An Exhibitor list will be included in each registration packet along with a location map.

7.       Food and Drink

a.       During the Business Expo, coffee, bottled water and light snacks will be provided in the Exhibitor Hospitality Area.

8.       Food Permit, Short-Term

a.       If you are providing food to the public, whether you charge or not, state law requires that you obtain a license or temporary permit to help you plan ahead for safe food handling. This includes exhibitors who offer free samples at the Business Expo. Call the Elmore County Health Department at (334) 567-1172 for more information.

9.       Internet Access, Wireless

a.       The Wetumpka Civic Center provides free wireless internet service.

10.   Open to the Public

a.       The Business Expo will be open to the public:   Tuesday, NOVEMBER 28th, 2017 2:30 pm – 6:30 pm

11.   Parking

a.       Be sure to move your vehicle away from the doors of the Civic Center as soon as you are done unloading. Others will need to unload also and may not want to wait until you set up your booth before they can unload.

b.      All exhibitor vehicles must be removed at least 30 minutes prior to the start of the Business Expo.

c.       Carts and/or hand trucks are not provided. Please bring your own.

12.   Set Up

a.       Set up can begin as early as 12:00 am on Tuesday, NOVEMBER 28th. Please give yourself enough time to set up your booth before the event is open to the public at 2:30 pm.

13.   Sponsors

a.       Businesses may choose to sponsor the Business Expo. All Sponsors will be recognized when we advertise the Business Expo, as space allows. A sponsorship poster will be visible to all who visit the Business Expo.

14.   Tear Down

a.       Tear down starts at 6:30 pm on Tuesday – not before. Please make sure to take everything with you. Nothing left will be kept.

b.      If you have cardboard boxes you no longer need, please break them down into flats and place in the dumpster behind the Civic Center. If you wish to recycle them, please take them with you when you leave.
